Client
The client is a startup in the childcare industry based in New York. The company wanted to launch a flexible childcare booking platform that would connect parents with verified daycare providers and support short-term care needs, including last-minute and multi-day bookings.
Challenge
The client needed more than a simple directory of daycare centers. They wanted an aggregator where providers could publish their available capacity and parents could find open spots in convenient locations, compare options on a map or list view, and book childcare at the most suitable facility. The app had to connect providers and parents.
This meant building a multi-role system from scratch. The platform had to support provider onboarding, parent and child profiles, booking flows, attendance, payments, chat, and access control around child pickup. It also had to handle sensitive information about minors, including permissions, questionnaires, emergency contact details, and rules around who could pick up the child.
SoftTeco was recommended as a mobile app development partner. The core business idea was to help childcare providers onboard into the platform first and then let those providers bring parents into the product. The platform focused on short-term bookings, including last-minute or multi-day childcare needs.

Solution
SoftTeco built a mobile platform for flexible childcare booking. Parents can search for daycare providers, view available spots on the map, book short-term stays, pay through the app, and manage one or more children from a single account. Although the product focuses on short-term childcare, bookings can still be made in advance within the provider’s available schedule.
For childcare providers, the platform supports daily operational workflows across several facilities. Providers can publish open capacity, manage bookings and attendance, invite staff into the app, and communicate with parents. The product also supports secure child handoff, reusable family profiles, and in-app payment tracking for both sides.
The platform was designed to reduce friction for repeat bookings. Parents do not need to re-enter the same child-related information every time they choose a new provider. At the same time, providers get one system for booking, communication, attendance, and payment-related visibility.

How it works
SoftTeco built the product as a two-sided mobile platform for parents, children, childcare providers, and daycare staff.
One of the first things we implemented was provider onboarding and verification. The client’s growth model depended on bringing daycare centers into the platform first. We built an admin-side verification flow where the admin checks the daycare, validates its licenses, and confirms that it exists in the official registry before it can appear in the app. After that, the provider can publish available capacity and start accepting bookings.
We also implemented the provider staff model. Daycare organizations can invite employees into the app and assign one of two roles: Basic Access Manager for staff who only need booking and attendance visibility, and Full Access Manager for broader operational actions. This made the product fit real daycare workflows instead of a simplified marketplace model.
The most complex part of the project was the payment architecture. SoftTeco implemented multi-tenant payments with Stripe Connect, where each daycare provider has its own connected Stripe account. Parents can pay through the app using different methods, including Apple Pay and Google Pay, while the system routes payments to the correct provider account, captures payments after booking confirmation, and reflects them in provider-side financial flows.
We also built provider-side wallet and payout logic. Daycare providers can track booking income, overtime charges, refunds, withdrawals, and monthly earnings, then transfer funds from Stripe to their bank account. The platform also supports payment dispute escalation, giving providers more control over payment-related cases.

Another critical flow was attendance and child pickup. We implemented QR-based check-in and check-out, which means a child cannot be released without the correct code. The system also tracks late pickup and recalculates the final cost based on delayed minutes. That turned the app into part of the daycare’s real operational process, not just a booking interface.
We also built the profile structure around data reuse and safety. Parents can manage multiple children in one account, and one child can be linked to more than one parent. The app stores permissions for medical help, meal and photo preferences, contact data, and pickup authorization, including who is allowed to collect the child. This was important because parents should not have to fill in the same forms again every time they book with another provider.
The communication layer also required more than a basic support chat. We implemented persistent chat between parents and providers, including the ability to start communication before booking. The chat supports documents, photos, and videos, and providers can share media updates about the child’s time at the daycare. The conversation stays available throughout the user’s time in the app.
We also designed the product with strict requirements to comply with COPPA and NY State Archives. Since the platform handles sensitive information about minors, data collection, permissions, and access control had to be treated as core product logic.
