- Chatbot integration for real-time assistance to technicians
- Secure, scalable, and compliant infrastructure for global users.
Client
The client is a UK-based company that provides digital solutions for Jaguar and Land Rover (JLR) vehicles. Their flagship platform, TOPIx (Technical and Owner Publications Information eXchange), is a web-based system used by dealerships, engineers, and independent service providers across multiple regions.
The solution serves as a central hub for accessing diagnostic data, service manuals, wiring diagrams, and repair procedures for JLR models. It is crucial for ensuring that vehicles are serviced according to manufacturer standards
Challenge
The existing system had been in operation for several years and was facing limitations in both usability and performance. The platform’s growing user base, spanning multiple markets and languages, introduced scalability and localization challenges. Users reported delays when searching for documentation or navigating technical data. Moreover, the registration and login flow required modernization to meet modern security and compliance standards.
The client has engaged SoftTeco seeking a partner capable of upgrading the architecture, improving user experience, enhancing performance, and introducing automation modules to streamline service operations.

Solution
SoftTeco joined the project to modernize the platform’s backend and frontend architecture, enhance user management, and introduce automation tools. Our team improved user registration flow, implemented advanced authentication and authorization mechanisms using Keycloak, and ensured full compliance with GDPR and data security requirements.
A major milestone of the project was the development of a chatbot assistant that helps technicians and resellers quickly locate the correct repair procedures, wiring diagrams, and diagnostic codes. Powered by natural language processing (NLP) models, the chatbot reduces search time and improves user efficiency.
The system was migrated to a modular, microservices-based architecture built with Java Spring Boot and containerized using Docker. The use of Kafka allowed asynchronous communication between diagnostic modules and the central data repository, enabling real-time updates when vehicles were connected for diagnostics. SoftTeco also designed a new employee management system with multi-role access, it gives administrators control over permissions and reporting.

How It Works
When a dealership technician logs into TOPIx, the platform automatically identifies their user group and tailors the interface accordingly, whether they are a reseller, engineer, or service technician. Once a vehicle’s VIN is entered, the platform retrieves all related data from the central database: service bulletins, wiring diagrams, diagnostic trouble codes, and configuration parameters.
If the vehicle is connected to the diagnostic interface, the dashboard visualizes all integrated modules in real time, displaying their operational status and any detected errors. The chatbot assistant can then suggest relevant troubleshooting procedures or documentation based on the current diagnostic context.

The platform’s intelligent search engine allows users to find documentation not only by keyword but also by semantic meaning. For example, a technician searching for “engine overheating” will also receive related repair procedures, such as coolant system diagnostics or temperature sensor replacements.
SoftTeco’s team ensured that all interactions between users and modules are encrypted and compliant with various data handling standards, such as GDPR, Data Protection Act 2018, PDPL and others. The new backend architecture allows for easy scaling across markets and quick deployment of updates without disrupting live operations.
