Challenge

SoftTeco is an international software development company that provides a wide range of services, including web and mobile development, machine learning and data science, Quality Assurance, Salesforce, DevOps and UX/UI design. Before implementing Resource Management System (RMS), the SoftTeco’s Sales Department was working with two external systems, Zoho and Jira, to manage all interactions with clients and to create Request For Resources (RFRs). However, the systems were not integrated, and their simultaneous use often lead to duplicate data, miscommunication, and similar issues.

Considering the amount of sales data that the company generates and processes on a regular basis, we decided to develop our own platform that would contain all needed information about both our clients and employees and would allow automating all steps of the RFR process, from request creation to its successful completion.

Solution

RMS is a comprehensive solution for managing the Request for Resources (RFR) process easily and to add more transparency and visibility to your sales operations. The platform allows easy creation of the RFR request, automated candidate selection, training of employee’s soft skills, and interview scheduling. With the help of the platform, all authorized users (sales representatives, team managers, CTOs, DMs) can instantly see the details of a selected RFR and its status and the history of communication with the client. As for employees, the RMS platform helps them prepare for upcoming interviews and easily access information about the project and the client’s expectations.

How it works

The main idea behind RMS development was to eliminate the use of two separate systems (Zoho and Jira) and replace them with an all-in-one solution. RMS is integrated with two of SoftTeco’s internal platforms: employee database and CV database for easy retrieval of the information on needed candidates. As soon as the sales representative receives a request from a client, they can create an RFR in the system to start the selection process. To ensure all historical data remains integral, we integrated RMS with Zoho and transferred the data from the latter.

The RMS system has several user groups: sales representatives, bench managers, team leads, etc. They can follow certain technologies in the system and thus receive an email notification that candidates are needed for this specific technology. The email also contains a link, by clicking on which a user can add candidates to a project. The sales representative then checks the proposed candidates and can send their CVs to the client directly from the platform. In order to make the RFR proposal as accurate as possible, the SoftTeco’s development team implemented an automated calculator that evaluates how well the candidate’s skills match the client’s requirements.

In addition to request processing, the RMS system also helps employees prepare for interviews and polish their hard and soft skills. The system contains various documents and useful links that employees can access freely. When an employee is selected for a project, they see the client’s requirements in the system and can prepare for the upcoming work correspondingly. In this way, SoftTeco maintains a high level of quality of services and ensures there is no mismatch between the client’s expectations and the team.

The RMS platform contains all SoftTeco’s projects in a form of case studies. We therefore can showcase our expertise to the clients, which is especially useful when the past project has a similar functionality to the new one. As well, RMS offers advanced analytics on bench employees, most demanded technologies, and overall clients’ demands. With its help, we can allocate the candidates more accurately and precisely match the skill gaps with suitable talents.

Results

The SoftTeco team has successfully developed and implemented an advanced platform for internal use that integrates with other internal systems and provides a holistic and transparent view on our sales process. We will continue to expand the platform’s functionality and are now working on implementing the competence matrix that will be used for planning one’s individual professional development and growth.
